Refund & Cancellation

At Book N Xplore, we recognize that travel plans can change, and we are committed to providing fair and transparent cancellation and refund policies to all our customers. This policy applies to all bookings made through our website, including curated packages, domestic and international tours, and partner-sourced hotel and flight bookings.

 

Cancellation Requests:
All cancellations must be submitted in writing, either via email or through your user dashboard on our website. While you may communicate intent through phone or WhatsApp, only written requests will be considered valid for processing. The date we receive your written cancellation will be used to determine applicable charges or refund eligibility.

Third-Party Services:
For bookings fulfilled through our travel partners or third-party platforms (such as hotel, flight, or package aggregators), the cancellation terms of the respective provider will apply. These vary by provider and service type. Please review the specific cancellation policy at the time of booking, as some bookings may be non-refundable or involve significant cancellation charges.

Custom and Curated Trips:
For curated travel plans created directly by Book N Xplore, we typically require a non-refundable deposit to confirm the trip. If cancellation occurs after full payment, partial refunds may be provided depending on how close the cancellation is to the travel date. Costs incurred for reservations, permits, transport, and other prepaid arrangements will be deducted from the refund amount.

No-Shows and Early Departures:
No refunds will be provided for unused services once a trip has commenced. This includes missed flights, early checkouts, unused accommodations, or failure to join a tour. In the event of a no-show without prior notice, the full booking amount will be retained.

Refund Timeline and Method:
Where a refund is approved, it will be processed within 7 to 21 business days from the approval date. The refund will be made using the original mode of payment. Book N Xplore will not be responsible for delays due to bank processes or currency conversion charges that may apply during refund transfers.

Operator Cancellations or Force Majeure:
If Book N Xplore cancels a trip due to operational constraints, force majeure events (such as natural calamities, political unrest, or partner unavailability), we will aim to offer an alternative solution. Refund eligibility in such cases will depend on the specific situation and incurred costs. Force majeure clauses may apply.

Visa and Documentation Services:
Charges related to visa assistance, documentation, or service fees are non-refundable once the process has begun, regardless of whether the visa is approved or denied. These services are treated as standalone and are not included in tour package refund calculations.

Travel Insurance Recommendation:
We strongly recommend purchasing travel insurance to safeguard against unforeseen changes, cancellations, medical emergencies, or other interruptions. Insurance may help recover costs not refundable under this policy.
